We use personal information to run your account, keep waitlists accurate, and connect you with the daycares you choose. We never sell personal information.

What we collect and why

We ask for enough information to identify your family, match your childcare needs, and keep the registry useful. We do not collect personal information for advertising.

Your account

Your name, email, phone number, address, and relationship to a child help us verify your account and send important updates.

Your child's profile

A child's name, date of birth or expected due date, care needs, and preferred start date help determine suitable waitlists and offers.

Your waitlist activity

We keep the daycares you select, when you joined, your status, check-in responses, and offer activity so your place can be managed fairly.

Provider information

We collect business, licensing, contact, capacity, and program details from providers to verify and operate their listings.

Who can see your information

You stay in control

You can see your family profile, selected daycares, waitlist progress, and offers from your account.

Only relevant providers

A daycare can see the information needed to manage families on its own waitlist and complete an offer or enrollment. It cannot browse your activity with other daycares.

Authorized OneWaitlist access

Authorized administrators and systems can access information only where needed to operate, support, secure, or review the service.

Not public

People browsing OneWaitlist's public daycare pages cannot see family accounts, child profiles, or waitlist membership.

How we protect information

OneWaitlist is designed around applicable Canadian privacy requirements. Protection is built into how information is collected, stored, and accessed.

  • Secure, encrypted connections protect information while it moves between your browser and OneWaitlist.
  • Role-based access keeps parent, provider, and administrator functions separate.
  • Sensitive identity-matching values receive additional protection through one-way hashing where appropriate.
  • Service credentials and secrets are kept in managed secure storage rather than exposed in client code.
  • We limit collection and access to what is needed to provide and protect the service.

Verification supports trust and fairness

Verified accounts and providers

Account contact details are verified during onboarding. Daycares also verify their official phone information and may be reviewed by an administrator before activation.

Fair child profiles

Protected identity matching helps prevent duplicate child profiles. At enrollment, a provider confirms that the details presented by the family match the profile connected to the offer.

Your choices

  • Update your profile and childcare preferences.
  • Manage email and SMS notification preferences.
  • Leave a waitlist or remove a child profile when appropriate.
  • Contact support to request account or personal-data deletion. These requests are reviewed and handled under applicable requirements.

Anonymous insights

Aggregated, non-identifying trends may help communities understand childcare demand and where more care is needed. These insights do not identify individual families or children.
